Graduate Assistant – Director of Operations
New Mexico State University | Track & Field / Cross Country
Location: Las Cruces, NM
Position Type: Graduate Assistant (Spring semester with potential renewal)
Reports To: Head Track & Field Coach (with collaboration across event coaches)

Position Overview
New Mexico State University Track & Field is seeking a highly organized, motivated, and detail-oriented Graduate Assistant – Director of Operations to oversee and support the daily operational needs of a Division I Track & Field / Cross Country program. This position is ideal for individuals pursuing a career in collegiate athletics administration, coaching, or operations.
The Director of Operations will play a critical role in ensuring the smooth execution of team logistics, compliance-related processes, meet operations, travel coordination, and administrative support for coaches and student-athletes.

Primary Responsibilities

Program Operations

  • Coordinate and manage daily operational logistics for Track & Field and Cross Country
  • Serve as the primary point of contact for operational communication within the program
  • Maintain and organize operational calendars, deadlines, and internal workflows

Travel & Logistics

  • Assist with team travel planning, including transportation, lodging, meals, itineraries, and travel documentation
  • Coordinate with university travel services and external vendors
  • Prepare travel packets and itineraries for coaches and student-athletes
  • Support travel reconciliation and expense tracking

Compliance & Administration

  • Assist coaches with NCAA, conference, and institutional compliance documentation
  • Track required forms, eligibility paperwork, and compliance deadlines
  • Support recruiting operations by organizing visits, itineraries, and documentation (in coordination with coaching staff)
  • Maintain organized digital and physical records

Communication & Coordination

  • Assist with internal communication, scheduling, and information distribution
  • Support projects as assigned by the Head Coach

Qualifications

Required

  • Bachelor’s degree from an accredited institution
  • Acceptance into a graduate program at New Mexico State University
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Willingness to work evenings, weekends, and travel as required

Preferred

  • Previous experience in collegiate athletics (operations, coaching, or administration)
  • Familiarity with NCAA rules and compliance processes
  • Experience with meet management software (e.g., DirectAthletics)
  • Background or interest in Track & Field or Cross Country
